Job Summary:
Significant Duties:
Supporting and directing the administrative tasks of the nursing unit fall under the purview of this position. As per Medical Center procedure, a person may be assigned to cover numerous units.

processes, transfers, and discharges carried out through the electronic medical record's Admit-Discharge-Transfer (ADT) system, including event management.

responds to and directs calls correctly, both internally and externally.

place an order for the unit's supplies and materials. Equipment and drugs are collected as needed, per unit.

Responds to the call system; follow up as necessary with the nurse, patient, and/or family.

schedules patient follow-up visits as required.

Plans transfer to skilled nursing facilities with the help of the discharge coordinator, printing any necessary pages from the patient's documentation.

creates patient discharge papers and associated paperwork.

maintains the business equipment for the unit, including ensuring wireless carts are fully charged. arranges for the business equipment of the unit to have special maintenance or repair.

updates the whiteboard for the unit.

keeps the bare minimum of a medical record.

Helps unit members use other systems, such as the electronic medical record, and serves as a unit resource for computer-related concerns.

greets incoming patients and their families on behalf of the unit.

Coordination of discharge dates, notification of upcoming discharge dates to family members, assistance and facilitation of a prompt discharge when the patient is prepared.

as necessary, starts the downtime processes for the units.

communicates with many departments and groups.

May assist Environmental Services with entering data about clean and unclean beds into the ADT system.

When family members are present on the unit, talking with the admitting office, passing information to admitting or to the patient/family, etc., may aid in facilitating co-pay collections.

In certain situations, helps with other unit responsibilities like gathering food trays, delivering specimens (like blood) to the lab, etc.

takes part in hourly rounds to encourage superior customer service.

Receptionist cross-training is possible: (ED only).

As required, will have to float to other departments.

Give management or the hospital bed coordinator updates on available beds.

does other tasks as directed.

coordinates transportation and hospital transfers.

diagnostic reports are printed and distributed, and any abnormal lab results are reported to the proper personnel.

uses optimal body mechanics to move people, things, supplies, and specimens about the medical institution.

Participates in actions to improve departmental processes, such as planning, monitoring, evaluating, and enhancing.

displays competencies while on probation and after departmental competency validation is complete.

Customer Service Adheres to the criteria for customer service set forth by the Service Area, the Medical Center, and the particular department.

Helps members who aren't happy with their experience by listening to them and assuming responsibility within their sphere of influence to see that the problem is fixed.

ensures that the necessary materials are ordered and ready for usage.

provides patients, members, and staff with general information and reception activities.

maintains telephone etiquette at all times, whether accepting messages, transferring calls, or receiving calls.

Maintain and organize committee minutes, manuals, handbooks, and departmental records.

Prepare outgoing mail and deliver, sort, and collect mail.

Keep track of the patient education resources.

takes proactive measures to meet the demands of the customer by anticipating their wants.

promptly responds to patient requests, alarms, and call lights.

establishes and upholds partnerships and inter-intra-departmental communication.

safeguards and maintains patient privacy.

Basic Qualifications:
Experience
  • N/A.
Education
  • Successful completion of medical terminology.
  • High School Diploma or General Education Development (GED) is required.
License, Certification, Registration
  • SCAL GRANDFATHER US-BLS OR Basic Life Support

 

Additional Conditions:

  • Working knowledge of computers and the ability to use a mouse to browse in a Windows environment
  • basic familiarity with office supplies (fax machine, copy machine, scanner).
  • ability to understand English as a whole and to speak, read, and write it clearly.
  • aptitude for policy and procedural learning.
  • the capacity to learn software programs.
  • the capacity to read and understand intricate English instructions, correspondence, and medical record records.
  • being able to email correspondence.
  • working knowledge of Windows and other computer programs.
  • 30 WPM of typing demonstrates clear, succinct communication that is appropriate for the patient's developmental stage.
