Description:

The Materials Coordinator assists nursing management in the annual planning, day-to-day administration, and ongoing oversight of the Medical Center's capital budget and non-salary expense budget. This includes organizing and providing the supplies and equipment needed for patient care in the Medical Center. Maintaining established supply chain metrics and sharing crucial supply chain information, such as supply and equipment availability, are signs of competence. All of these activities require communication skills.

Significant Duties:

Create and maintain pars for ancillary departments at the medical center (does not include ASC). using a handheld gadget to perform a par count is possible.

Manage the facility's procurement requests by submitting them. ensures adherence to international and local contracts.

Perform a physical receipt of the items and cross-check the shipping label. Along with deliveries of capital equipment, this also covers FedEx, UPS, and USPS deliveries. Within 72 hours after the actual delivery, enter the products into the eProcurement system as received.

Work with contractual vendors to schedule deliveries and vendor-managed pars (such linen).

Manage unfinished backorders, unpaid invoices, and unapproved requisitions by running daily or weekly queries in the procurement system.

Manage to receive inconsistencies and, as necessary, contact materials management and suppliers. Control RTVs (returns to vendor).

Whenever necessary, after receiving capital equipment, enter asset information into asset management system. In order to schedule maintenance and repairs, let Clinical Technology know where the asset is.

Deliver supplies and equipment to the supply closets for the clinics. First in, first out principles should be used to rotate and stock products as needed.

Maintain EH&S standards when organizing supply closets by removing unused and expired items.

Examine product recall warnings and take the necessary action as outlined within the allotted period. Inform any affected departments of product recalls.

When necessary, work with clinical operations, materials management, and suppliers to find replacement or alternative items. As instructed by Materials Management, inform clinical operations of product backorders and contract conversions.

Maintain adherence to the specified SOX and standard accounting policies (such as prompt and accurate receiving) that management has clearly stated through training.

Serving as the facility's waste coordinator includes arranging for the pickup of hazardous trash and making sure that manifests are filed and current.

Support the budget planning process by doing equipment and product research and, upon request, giving budget owners details on purchase orders.

With the following, assist the MOB Operations team: 1. The Incident Command system, as key personnel, for fire drills, training, events, and building evacuations (e.g., find red cones, direct traffic, manage crowds); 2. Setting up a conference room; 3. Finding and moving patient lift equipment

Other tasks that support supply chain activities may be allocated.

Basic Qualifications:

Experience

  • Minimum one (1) year of experience in supply chain required. Supply chain experience means experience establishing and managing par levels and storage closets (e.g. rotating stock, validating product recalls and expiration dates)

  • Minimum one (1) year of experience with procurement systems, software, and processes required.

Education

  • High School Diploma or General Education Development (GED) required.

  • Demonstrated experience collaborating with other departments to research and solve complex problems.

 

Preferred Qualifications:

  • Demonstrated knowledge of medical services and supplies and inventory preferred.

  • Associate's degree in business or health care related preferred.
