Description:
The Support Services Representative, a member of the nursing staff, actively contributes to patient care by ensuring that the inpatient units have the right number of staff members. The Support Services representative is in charge of correctly interpreting the requirements of the collective bargaining agreements governing staffing, scheduling, and pay practices. They operate as a point of contact between the nursing staff and the nursing administration team members.
Essential Responsibilities:
Daily assurance of an adequate, suitably qualified workforce in accordance with the GRASP version of the KP nursing workload management system; produces daily reports outlining differences between GRASP requirements and actual staffing requirements; ensures that outside registry staff complies with The Joint Commission regulatory requirements by working with registry providers; minimizes the expense of overtime and/or other premium payments; ensures seniority in vacation selection or other time off; and interprets collective bargaining agreements (CBA). Establishes ranking systems for regular employees in line with the seniority clauses of their contracts and the availability forms submitted by the employees. Records conversations with staff and management to ensure that the contract's terms are implemented.
Negotiates with staff to fill open shifts in accordance with each facility's policies; creates and maintains a computerized master schedule that covers all nursing shifts across the hospital on a 28-day basis; attends to any urgent staffing or payroll issues; and works with payroll to ensure that employees are paid in accordance with CBAs or other KP policies and regulations. biweekly process timecards for payment by interpreting coded timecard modules that appear.

Additional Requirements:
  • Testing: Typing 40wpm.
  • Testing: PC skills test (able to pass PC skills assessment).
  • Excellent analytical skills with regard to written material as well as metrics, charts, and other documents produced by the GRASP system and the staffing computer system.
  • Outstanding interpersonal communication abilities that allow the individual to interact with a range of personalities and negotiate the required coverage for the hospital;
  • Strong problem-solving abilities that allow one to come up with original solutions to staffing/payroll challenges;
  • Focused on the details to make sure interactions with staff and decisions surrounding staff selection are recorded in case of disagreements;
  • Must be capable of working independently and making judgments about requests or difficulties relating to staffing or payroll;
  • Outstanding proficiency with Microsoft Word and Excel, with the ability to swiftly comprehend and make use of the nursing workload database;
  • High school graduation is necessary; some colleges desired it;
  • Knowledge of the healthcare industry is preferred.
  • Must be adaptable to the department's requirements.
